How Fielded handles personal information on our website, in our service and when you contact us.

Who is responsible
Fielded.ai Limited, registered in England and Wales, company number 17153425, is responsible for website enquiries, account administration, billing and service security. Our registered office is 124 City Road, London, England, EC1V 2NX. Contact tech@fielded.ai about privacy. For information uploaded or collected by your employer or another customer, that organisation generally decides the purposes of processing and Fielded provides the service on its behalf. Your organisation should provide its own notice and instructions.
Information we use
Account information includes your name, email, work role, team and organisation. Workspace information can include mission responses, policy questions and checks, messages, uploaded documents, images or audio, and information from integrations your organisation enables. We also process support correspondence, subscription records, security logs and technical request data such as IP address and browser information. Payment details are entered with Stripe; Fielded uses payment and subscription references rather than storing your full card number.
Purposes and lawful bases
We use account and subscription information to provide the service and perform our contract with customers, and meet applicable accounting and legal duties. Service security, fraud prevention, responding to business enquiries and defending legal claims rely on legitimate interests where appropriate, balanced against your rights. Where you are a customer's employee rather than our contracting customer, administration of your access may rely on our legitimate interests and the customer's instructions. Optional campaign attribution is used only with consent. Workspace content is processed under the customer's instructions and agreed data processing terms; your organisation is responsible for identifying the relevant lawful basis.
Conversations and AI
Fielded uses Google AI to process relevant conversation context and uploaded material for responses, extraction and analysis. AI can make mistakes: findings, hypotheses and suggested follow-ups require human review. Do not submit passwords, payment-card details or unnecessary personal information. Employee dialogues are not a promise of absolute anonymity. Contribution and sharing choices, authorised access, submitted understanding checks and your organisation's procedures determine what can be used or seen. Technical support, security or legal obligations may also require authorised access. Ask your organisation about its visibility rules before submitting sensitive information.
Optional website analytics
Only if you choose Accept all, or enable Website analytics in Choose options and save your choices on the public website, we measure public pages visited, named controls clicked, approximate click positions, scroll reach and active time in visible sections. We use a random 30-minute visit identifier, device-size category, broad traffic-source category and approximate country/region. Your IP is encrypted, shown masked by default, and can be revealed only by the authorised Fielded owner through an audited action for up to seven days. These records help improve our website, not monitor customer employees. We do not record form inputs, audio, screenshots, private workspace content, full URLs or your name. We do not identify your employer from your IP or send your IP to an enrichment service. Analytics uses consent, not a claim that this individual visit tracking is strictly necessary. Reject optional or withdraw in Cookie settings without losing access. Browser Do Not Track and Global Privacy Control signals disable behavioural collection. Consent is a technical prerequisite, not a guarantee of coverage; blockers and network failures can prevent measurement.
Website analytics retention
Visit events are available for 30 days, encrypted IP originals for seven days and owner-access audit records for 90 days. Automated daily cleanup removes expired records on its next run, normally within 24 hours of expiry. Records remain subject to provider backup retention. Withdrawal stops new collection, clears the local visit identifier and requests deletion of the current tab's visit; deletion may be retried if the connection fails. Use Opt out of analytics in the website footer to withdraw in one click. To request deletion of another visit or ask about backups, contact tech@fielded.ai. Analytics is processed using our existing Vercel hosting and Supabase database; no advertising or company-enrichment provider is enabled.
Providers and transfers
Service providers include Vercel for hosting, Supabase for authentication, database and storage, Google for AI processing, Resend for service emails and Stripe for payments. Enabled Google or Slack integrations process information needed for the connection you authorise. Provider processing may involve countries outside the UK. Applicable transfer safeguards, provider contracts and the customer's data processing agreement must govern those transfers. Contact us for details relevant to your workspace; this notice does not promise UK-only hosting.
Retention
We keep account and workspace information for the period needed to operate the account, follow the customer's instructions and address security or legal requirements. Closing a subscription does not itself mean immediate deletion of all records or backups. Financial records are retained for applicable accounting duties; disputes and legal holds may require longer retention. Code-review NDA evidence is retained for six years after the review ends, or longer for an active claim or legal duty, as explained in that flow. Contact us or your workspace administrator for a deletion request and the retention arrangements applying to your data.
Your choices and rights
Depending on the circumstances, you can request access, correction, deletion, restriction or portability, and object to processing based on legitimate interests. Withdraw optional tracking consent through Cookie settings; this does not affect earlier lawful processing. Contact tech@fielded.ai. We may need proportionate information to verify your request. For employer-controlled content, contact your organisation first; we can help route the request. You can complain to the Information Commissioner's Office at ico.org.uk.
Cookies, children and changes
Our cookie policy describes essential browser storage and optional campaign attribution. Fielded is a workplace service, not a service directed at children. Please contact us if a child has submitted personal information unintentionally. We date material updates to this notice and will provide further notice where required.
